This video will explain to you how to set up Pets in the Gauvendi extranet. 

So lets get started: 

You can decide per product if you want too allow pets or not, so this is super flexible! Simply activate the RFCs where pets are allowed or create separate ERFCs where you add pets. 

Attention: There is no need to actively describe these ERFCs with “Dogs welcome”  - this way it may actually happen, that the product shows up regardless of the user having selected to travel with a dog in the first booking process. So unless you have particular products you like to set up where dogs are allowed, there is no need for the ERFCs anymore. 

To activate the pets for your rooms, open the respective RFC/ERFC and on the product information page you see a box saying “Pets allowed”. Simply activate this box and enter the maximum number of pets allowed for this product.

There is no need to update your description as a seperate description for the pet will be set up in a later stage. You will see if the pet is enabled in the product overview:

Next, go to Extras – Surcharges and create the surcharge for pets. Define the pricing strategy (per pet / per stay or per night) and define if the costs for the pet should be included to your rate or excluded (it will then be added after the room selection).  

Add a nice description – perhaps you even ask for the dogs name? E.g.: “Your dog is welcome at our hotel. For perfect preparation, please add the size and name of your dog in the comments field.”

When you select the cost to be included, you will see the service included after selecting the room product and the price will not be displayed. Make sure the slider “show in sales engine” is active. When selecting the costs to be excluded, the service will be displayed separately from the room price. As this is a mandatory fee it will automatically be added to the room price. 

Afterwards, activate pets in general for your property. Therefore, go to settings – property settings. Under “Operations” you need to activate “Are pets allowed”. Define the maximum number of pets based on the maximum amount you created in any of your products. 

In case you already had pets set up in the GauVendi extranet before, please do some clean up: 

Make sure you take out the service fee for pets from your sales plans as you will no longer need the service in this section! As a quick solution you can simply de-active  with the slider “show on sales engine” the service from being visible. Note: you still need this service if you are using call pro plus for your phone and email requests to be able to add this service to the booking process. 

If you have set up a separate rate plan for dogs you can discontinue this set up and archive this sales plan. 

For proper clean up ensure you take out all ERFCs that were dedicated for dogs – from the sales plans. When done, you can set these ERFCs on draft and delete them. 

Reminder: for Call Pro Plus (CPP) users:   

For hotels using CPP please note that no changes apply for your current workflow. Please continue the same standard operating procedures you have in place when making reservations where pets are part of the booking process. So please also keep the dogs as a service in the section extras so that you can select it once you have selected the product. The above change only applies for ISE.
