This video will explain to you how to load a new public sales plan in GauVendi, using a derived pricing strategy.
The initial set up of your property’s sales plans is done by the GauVendi team during your onboarding phase based on our information about your sales strategy.
However, you might realize that there is un-used potential – so therefore you might want to add another sales plan, derived from one of your already existing sales plans.
Here is a step-by-step tutorial on how to do it.
First, enter the sales area in the GauVendi extranet and click on Sales Plan. An overview of your current sales plans shows up. On the upper right hand corner you find a button “create sals plan” - click on it a new sales plan open up.
Start to fill out the information section – choose a code for your new sales plan and a name. The name will be displayed later to the customer, make sure you define a sales meaningful description. Also ensure you set up the descriptions in the languages you plan to sell. You have the option to decide on a rounding method (none, up, down or half up). By default no rounding will apply. Next, ensure that the status is active, otherwise it won’t be sellable.
Next, we look into the pricing rule: are you loading a public sales plan, a promotion, a contracted sales plan or a group sales plan? In this example, we load a new public sales plan.
Afterwards, you have to choose the pricing method, it can either be base pricing or derived. We will load a derived sales plan now, so we choose it here. A new field opens up where you have to choose the base sales plan this new derived rate is supposed to be linked to, e.g. your daily rate. In addition, you now have checkboxes available to choose if the derived sales plan is supposed to follow the base rate or not. Important: Once you select the checkboxes and save, this can not be changed afterwards anymore.
Within the PMS Sales plan section, please enter your PMS mapping code for a reservation sync.
If you want, you can choose a market segment for this sales plan for a better analysis.
The primary sales plan is the foundation of your rate strategy (usually your daily rate). It helps you to identify the plan easier in the display and it is considered as reference in the GauVendi logic. The primary sales plan rates will be shown on your GauVendi ISE when looking into the calendar. As your daily rate is already loaded during the onboarding phase of your property, there should be no need to activate this for your new sales plan.
Within the sales plan adjustment, set the respective adjustments for your new sales plan – is it supposed to be a discount (e.g. early booking) or surcharge (e.g. shorter stay if you have a MinLOS of 4 nights and your guest stay just for 2 nights). And which unit do you want to use? Currency or percentage? This settings defines the default of the sales plan– you can still make changes to the increases or discounts in your daily management section.
Click on save to ensure you create the shell for this rate plan. You will be able to adapt the other parts in the next step.
Tipp: When you create a new sales plan and you want to use some foundation information from an existing sales plan or the PMS mapping code, I recommend that you have a second tab open showing the existing sales plan you can copy information from.
The Sales plan is now saved, and you will find it in the overview list together with the other sales plans. Enter the sales plan and complete the missing information:
Go to settings and fill out one of the most important parts – the description! Ensure to write a description that motivates the customer to book your sales plan. As all taxes and conditions will be displayed in the booking process you can use this space to highlight other relevant information, general benefits, infos on your property or things for guests to be aware of or a call to action message that encourages guests to book this rate – NOW, like for example: Early birds’ book now and save!
For example: “Book with a minimum of 60 days in advance and save up to15%”
Below the Information field, you will find the translations. Please ensure to have translations ready for each language available within your sales engine.
At the end of the settings, you can define which products you like to sell within this sales plan. Please add these and click on save. Note: Not every product needs to be added to every sales plan. If you run a promotion with discounted rates but like to ensure that higher value room products are offered, make sure you only add these and not your lowest valued rooms.
Now revise the other tabs within the sales plan:
Define which extra services are included in the sales plans and which ones you like to offer “on top”.
If you have services that are mandatory extras such as “final cleaning” of your apartment you can add it there as well. Contrary to the “included services” this service will be automatically added in a second step after the user has already selected the product in the ISE.
Ensure to define which payment terms and cancellation policies apply for this sales plan. Under restrictions you define if there is a minimum length of stay required, advanced booking period or other restrictions. This section allows you to define the default settings. Under daily management you can adapt these restrictions at any time for any period.
For the last step go back to your settings and open the distribution channels and your default selling strategy. Should you like to sell this offer every day, just open the daily selling. But should you decide to make this offer only available during limited time frames, keep this the default sellability on closed and manage the the availability only under the “daily management tab”.
Click on save.
