This video will explain to you how to generate new virtual units (ERFCs) in GauVendi. 

The initial set up of your propertys categorys (MRFCS), personalized units (RFCS) as well as virtual units (ERFCS) and combined units is all done by the GauVendi team during your onborading phase based on our information about your property. 

However, you might realize that there is un-used potential – so therefore you might want to add another virtual unit (ERFC). 

To do so, we recommend cloning an already existing Product (can be an RFCs, ERFCs or MRFCs) and amend it based on your needs. The best thing is to clone a product that contains already one of the rooms you intend to sell differently. 

Here is a step-by-step tutorial on how to do this: 

First, go to the products section in the GauVendi extranet. Click on “create product” on the upper right corner and choose “Clone product. Next, choose the product you want to clone. Click save. 

Next, amend the ERFC name of the new unit. Then, set the ERC status to active and assign the rooms or units you want to be part of this virtual product.  

Ensure you also update the name in the translation section. 

You have different options on how to set up a virtual product.  

Allocation type: If the product you want to sell is based single unites, keep the set up on “deduct”. However when you want to set up a product that consists of more than one unit (for example 2 rooms next to each other) you need to change the allocation type selection to “total”. Only then you will also need to update the squarmeters and the amount of bedrooms that come along with this product. 

When you review the product pricing, make sure the price works for the product you want to sell: By default this will be the “average RFC price” which ensures that the unit you sell is sold minimum based on the value of the RFC unit. When you select Feature based price, the product price will be the sum of the features you intend to add to this product further down in the display screen. However when you create a new product that consists of more units you must make sure to select “combined RFCs” in combination with the allocation type “all” so that the full value of both units is considered.  

Note: You will still be able to update the selling price in your sales plan later on. 

The unit space (sqm) will be pre-filled based on the former set up of your unitsAmend this size only when you create a combined ERFC product 

Ensure to have at least one bedroom set up, otherwise the unit will not be sellable. 

Next, have a look at the product pricing: Select 

Next, choose the distribution channels for this virtual unit. Is it supposed to be sold on all your distribution channels or just one some? Choose accordingly. 

After that, think about the capacity of this unit – how many people can stay in there? Set up the default first, then you also have the chance to set up extra beds. 

If this product should only be sold based on a minimum length of stay, you can directly link default restrictions to your product – however can still control MinLos  also at a later stage within the sales plan. Both options have their own upsides and downsides, check out our video about restrictions later on ? 

Within the product feature list you will see an overview of the product features assignedAmend the features as needed and make sure that the features relevant for this product have been added and others eliminated. 

Last but not least you should add personalized images for your new ERFC. Supported formats are png or jpg and they can be up to 1 MB. Once uploaded, you can still decide on the order of appearance. 

Once this is all done, hit save and your new virtual unit will be created in the system – Congratulations!
